Leaders and above account holders can now create up to 100 participants in bulk. You have the ability to import your data, so it would be best to have all the participants details in an excel file which you can copy from. You will need the following details in this order:
The participants first name, surname and date of birth are mandatory details and must be added. If you enter an email address for the participant, they will receive an email with their login details once their account has been created. The ERN is for participants in Scotland.
Creating a cohort
1. Go to Manage participants > Create cohort
2. Fill in the details for Steps 1 - 3.
3. For Step 4, click 'Import your data'
4. Enter the number of participants that you want to create and click 'Create table'. You can see the number of participation places for the level that are available for you to use
5. Copy the data from your excel spreadsheet and select the first box in the table and paste into it.
6. Click 'Verify and create participants'
Once you click 'Yes', you will see a green banner notifying you that your cohort has been scheduled for creation:
Cohort creation requests are queued and processed chronologically. You will receive an email once your cohort has been created and the 'History' section under 'Manage participants > Create cohort' will be updated automatically. You cannot cancel your cohort creation request once it has been submitted.
Adding/removing rows
To add another row/s into the table, you will need to enter the amount of participants that you would like to create again and click 'Create table'. Please note: any data you have entered into the table already will be deleted once you click 'Create table'.
To delete another row/s from the table, you can enter the amount of participants that you would like to create again and click 'Create table' OR you can click the 'Remove' link from the bottom right-hand side. You can remove rows one-by-one starting from the bottom:
The number of participants that you are creating will be updated once a row has been removed:
Invalid data entered
If you have entered invalid information or not added the mandatory information, you will see the following ! next to the box once you click 'Verify and create participants':
You will need to amend/add the information before the participants can be created.
